We are looking for a dynamic Event Manager to join our team, on a volunteer basis, to lead the delivery of exceptional swimming events.

About the organisation:

Leicestershire & Rutland Amateur Swimming Association (LASA), run wholly by volunteers, is affiliated to Swim England East Midlands Region, and is the governing body for swimming within the counties of Leicestershire and Rutland providing support and guidance to swimming clubs. LASA is responsible for organising the annual Age Groups & County Championships, the annual Masters Open Meet & Championship, the Inter-Clubs Trophy Gala and the Young Teams Trophy Gala. It is also responsible for selecting and submitting a team to the annual Swim England Inter Counties Gala.

Full Details:

As Event Manager, you will primarily be responsible for the planning and execution of the County Championships held over 3 weekends during January & February each year and two swimming galas held on a Saturday evening in September and November the year. You will be aware of and assist as required in the organisation of the Masters Championship held in September each year and the selection of a Leicestershire Team for Inter County Competitions. You will work with our team of volunteers and external service & facility providers to ensure enjoyable experiences.

Key Responsibilities
– Plan, coordinate, and execute events from start to finish, including being present at the event as required.
– Manage event budgets, timelines and logistics to ensure seamless event delivery.
– Liaise with vendors, sponsors and stakeholders to create high-quality competitions.
– Oversee the event marketing, promotion and registration process.
– Coordinate logistics, including catering, transportation and the on-site management, set up and execution of the event handling issues and emergencies that may arise.
– Evaluate the success of events and gather feedback for continuous improvement.

When and Where:

The majority of effort will be carried out from home for the planning activities with an on-site presence required during the events.

Planning for the County Championships which takes place over 3 weekends in January & February each year, starts as early as April or May for venue bookings, with some involvement each month thereafter and the key activities being carried out between October and January. There is a template of activities and timelines available.

Planning for the two Trophy galas that take place on a Saturday evening in September and November is less involved with venue booking required as early as possible in the year and key activities being carried out during July and August for the September event and September and October for the November event.

Qualifications – Strong organizational and multitasking skills. – Good communication and interpersonal abilities. – Passion for creating memorable events – Willingness to work flexible hours, including some evenings and weekends. – Ideally knowledge and experience of competitive swimming – Ideally experience of and working with volunteers.
